Guidelines for speakers OB Congress

Language

All oral presentations should be given in English, Dutch or French language. The language of the presentation should in all cases be the same as the language of the title and the abstract as shown in the programme.
The Organizing Committee of OB strongly recommends English for oral presentations, in order to maximize the international appeal of the meeting.

In all cases, the audiovisual material should be presented in English (slides, movies, ...). No other languages are acceptable.

Technical instructions

Speakers are kindly requested to strictly respect the allocated time to guarantee smooth running of the sessions.


All presentations will be presented at a resolution of 1920 x 1080 pixels on a DELL Optiplex PC with Windows10 and PowerPoint 2019. Please note that we are projecting the presentations in 16:9 format. 
To adapt your presentation and use the full screen, please change your presentation to the 16:9 format. (path: Powerpoint/ DESIGN / PAGE SETUP)
  • Your presentation should be prepared in PowerPoint 2010 or higher.
  • Preferred page set-up is landscape orientation (portrait orientation will not be displayed properly)
  • Use high-contrast lettering and readable fonts – minimum font size = 24
  • Use high-contrast colours: light text on dark background or vice versa
  • A maximum of 7 lines/slide and 5 words/line will improve the communication value of your slide
  • Save your presentation on a USB memory stick and bring this with you to the venue
Some advice on using multimedia in PowerPoint
Transitions:
Please don't use timer-controlled transitions. Timer controlled transitions are transitions that will switch to the next slide after x seconds or minutes. This will interfere with our cue light system, which the speaker operates directly from the speaker-desk/lectern.

Video:
Save the videos used in your presentation on your USB memory stick.

Fonts:
Try to avoid use of non Standard Windows fonts.

Apple:
Keynote presentations are not allowed and can not be displayed.

Please give your filename an extension > .pptx

Check your presentation on a Windows (preferably Win7 or higher) machine before you bring it to the congress. This will avoid a lot of stress at the meeting: you will not have to fix things that are not working after the conversion from Apple to Windows at the meeting.

Always try the USB memory stick on another PC before you bring it to the congress and make an extra copy.

Sound:
In case your presentation contains a sound-file, please warn the staff of the speakers' room, they will inform the staff in the session-room to assure the sound will be audible to the audience.

Upload your presentation prior the congress

You are requested to upload your presentation before 24 November 2021 via the following UPLOAD LINK. A link with your personal username & password will be provided by e-mail closer to the meeting.
 
Management on site:
You can adapt your presentation at the speakers' room no later than 1 hour before the start of your session (the earlier the better). 
Please note that you cannot give your USB memory stick directly to the technical staff in the session room.
  • Each session room has a technician to assist you with your presentation if needed. Please make sure to be in the session room 15 minutes before the start of the session in order to check the presentation system with the technician.
  • A mouse and a remote control with forward and backward buttons will be placed at the lectern. With the mouse orthat remote control you can navigate and control your own presentation. The presentation is launched by the technician and from that point the speaker has control over the presentation.
